Access to Facilities

USC&A facilities are not considered public facilities. As such they are available to VCU students, faculty, and staff for the purposes of business related to the functions of the University. The general public is permitted to use facilities other than retail areas when open and to attend events and programs if opened to public by sponsor.

All VCU persons are required to carry a VCU ID with them at all times and to show it if requested by a university official. Non-VCU persons may be asked for ID and purpose. Anyone not following the rules of the university and USCA facilities may be asked to leave.

Failure to leave when requested will be considered trespassing and subject to VCU law enforcement.

Additional Personnel Any time additional or special personnel are required to support and event (e.g. Police, A/V tech, custodial, etc.) additional fees will be required. Please see the Special Rates Sheet.
Alcohol at Events Alcohol at events on university grounds or sponsored by university student organizations and departments is permitted. Events must follow university guidelines including completion of the University Alcohol Agreement.
Alcohol Agreement – Monroe Park Campus The Alcohol Agreement must be completed for any event on the Monroe Park Campus or sponsored by a registered student organization.
Alcohol Agreement – Medical Center The VCU Medical Center requires notification of any event on the VCU Medical Center at which alcohol will be present. Student organizations may be required to complete both forms if an event is held on the MCV Campus.
Alumni Association Board Room The Alumni Association Board Room is the premiere conference room in the USC. This room is to be used for conference style meetings only. Priorities for this room are as follows:
  1. BOV/President/Provost/VP – meetings
  2. Student Governing organizations which do not have meeting space assigned
  3. DSA/ES Offices and departments
  4. Academic/Adm Departments
  5. Conferences and other users

Meetings with food are permitted but sponsors and USCA facilities/operations staff should be diligent in ensuring that the room so quickly cleaned afterward and that any spills or cleaning issues are addressed the same day. Damage/Clean up fees will be charged.

Amplified Sound(outside) To protect the classes from undue disruption, Amplified Sound in outdoor locations is only allowed between the hours of Noon and 1pm, Monday-Friday, after 5pm on Friday until 11pm on Sunday.
Animals Animals are not permitted within USC&A facilities with the exception of service animals.
Audio/Visual Technicians An A/V technician will be required for any events that involve the use of USC&A A/V equipment, i.e. data projectors, house sound systems or for events that are complex in nature and require audio visual needs. Those rooms designated and equipped with "smart technology" do not require an A/V Technician unless requested by the sponsor. Fees will apply with any A/V Technician.
Banners

Interior Banners - Banners may be no larger than 12' wide and 3' high. No banner may exceed 36 square feet in area. All paper banners are disposed of after their reservation has ended.

Exterior Banners - Banners MUST be 8' wide and 3' high and must be vinyl or cloth made to withstand weather conditions. They must have reinforced grommet holes on all four corners. Lettering and graphics must be waterproof.

Banners must be approved, stamped and hung by the Event & Conference Services Office (Room 104) prior to 10 am on the first day of your reservation. NO GLITTER may be used on banners.

Bicycles

Bicycles may not be parked, stored, or locked to any structure or within any building, including campus residence halls, on either campus of Virginia Commonwealth University.

Bicycles shall not be locked to railings, utility or light poles, fences, trees, handicap ramps, or any structure other than the bike racks.

Students or employees in violation of this requirement are subject to having their bicycles removed and being charged with a violation under the Rules & Procedures of Virginia Commonwealth University.

The following policies, procedures and guidelines have all been reviewed and revised for current nomenclature and University standards. All USC&A policies, procedures and guidelines are reviewed by the Student Activities Advisory Committee (SAAC) and approved by the Director and/or the Associate Vice Provost and Dean of Student Affairs.
